2. What personal data we collect
Depending on how you interact with Urban Kickstart, we may collect the following personal data:

For Mini Meetups: the name, email address, and any details you provide when you sign up via Meetup, plus the date and time of the Mini Meetup
For masterclasses, corporate services: your name, email address, appointment date, time, type, and any notes or messages you submit when booking
Payment information (where applicable):
Billing details for corporate services or digital products
Payment confirmation (we do not store full payment card data ourselves)
Note: Mini Meetups run on a voluntary, pay-what-you-feel basis and do not require us to collect payment data

Email correspondence with Urban Kickstart
WhatsApp messages exchanged in the context of a service or follow-up
Messages submitted via contact forms on the website

3. Why we collect your data (legal bases)
Urban Kickstart only processes personal data when there is a valid legal basis under the GDPR:
3.1 Performance of an agreement — We process your data to deliver the services you have signed up or registered for, including Mini Meetups, masterclasses, and related communications.
3.2 Legitimate interests — We may contact you after a Mini Meetup or masterclass if there is something genuinely relevant to you, such as introducing a person with shared interests or notifying you of an available place. We only do this where we have reason to believe it adds value, and you can opt out at any time. We also use website analytics to improve our Platform.
3.3 Legal obligation — We are required by law to retain certain data, such as financial records, for a statutory period of 7 years.
3.4 Consent — Where we send marketing communications, we do so only with your explicit consent. You can withdraw this at any time.
4. How we use your data
We use your personal data for the following purposes:
Delivering and administering Mini Meetups, masterclasses, and programmes you have signed up or registered for;
Processing payments and sending invoices or confirmations for corporate services and digital products;
Communicating with you about your sign-up, session, or enquiry via email or WhatsApp;
Following up after a Mini Meetup or masterclass where there is a relevant and personalised reason to do so (e.g. a person with shared interests, an available place);
Improving the Platform and our services through anonymised analytics;
Complying with legal and financial obligations;
Preventing fraud and ensuring the security of our Platform and communications.
5. Sharing your data with third parties
Urban Kickstart does not sell your personal data to third parties. We work with the following tools and service providers, who may process your data on our behalf:
Meetup — for Mini Meetup sign-ups. When you register for a Mini Meetup, Meetup processes your name, email address, and registration details under its own privacy policy. Please refer to Meetup's privacy policy for details on their data handling.
Squarespace — our website is hosted on Squarespace, which collects standard website analytics and form submission data. Please refer to Squarespace's privacy policy for details.
WhatsApp (Meta) — when you contact us or we contact you via WhatsApp, your messages are processed by Meta Platforms. Please be aware that WhatsApp messages are not fully under Urban Kickstart's control once sent. We use WhatsApp for convenience and service-related communication only.
Payment providers — for secure processing of payments for corporate services and digital products (specific provider may vary; details provided at time of payment).
Email providers — for sending confirmations and service-related communications.
All processors with whom we share personal data are bound by appropriate data processing agreements. Where these parties are based outside the European Economic Area (EEA), appropriate safeguards are in place in accordance with GDPR requirements.
6. Whatsapp communications
Urban Kickstart uses WhatsApp as a communication channel for confirmations, session-related communications, and relevant follow-up contact. By providing your WhatsApp number and engaging with Urban Kickstart via WhatsApp, you consent to receiving messages via this channel.
Please note the following:
WhatsApp is operated by Meta Platforms and is subject to Meta's own privacy policy and terms of service;
Urban Kickstart will only initiate WhatsApp contact for service-related purposes or relevant follow-up as described in this policy;
You can opt out of WhatsApp communications at any time by informing Urban Kickstart via email at emma@urbankickstart.com.
7. Follow-up contact
Urban Kickstart may reach out to you after a Mini Meetup or masterclass if there is something specifically relevant to you, such as introducing you to a person with shared interests, or letting you know about an available place that matches your situation. This is done on the basis of legitimate interest and only where we genuinely believe it adds value for you.
You have the right to object to this type of contact at any time. Simply let us know via email or WhatsApp and we will stop.
8. cookies and tracking technologies
Our website is built on Squarespace, which uses cookies and similar tracking technologies. Cookies are small text files stored on your device when you visit our website.
The following types of cookies may be used:
Functional cookies — necessary for the website to work correctly;
Analytical cookies — to understand how visitors use our website (Squarespace analytics, with anonymised data where possible);
Marketing cookies — only placed with your consent, to track the effectiveness of any campaigns.
You can manage your cookie preferences via the cookie banner on our website or through your browser settings. Disabling certain cookies may affect the functionality of the website.
9. data retention
We do not retain your personal data longer than necessary for the purposes for which it was collected, or as required by law:
Client and transaction data: 7 years (statutory financial retention period under Dutch law);
Mini Meetup and masterclass data: up to 2 years after your last interaction with Urban Kickstart, unless you request earlier deletion;
Sign-up data (Meetup): retained as per Meetup's own retention policy; you may also manage or delete your own Meetup data directly;
WhatsApp communications: retained for as long as the conversation thread remains active or is relevant to the service provided;
Website analytics: up to 26 months, anonymised where possible;
Contact form submissions: up to 1 year after the enquiry is resolved.
10. your rights under the GDPR
As a data subject, you have the following rights:
Right of access — you can request a copy of the personal data we hold about you;
Right to rectification — you can request correction of inaccurate or incomplete data;
Right to erasure — you can request deletion of your personal data, subject to legal retention obligations;
Right to restriction of processing — you can ask us to limit how we use your data in certain circumstances;
Right to data portability — you can request your data in a structured, machine-readable format;
Right to object — you can object to processing based on legitimate interests, including follow-up contact;
Right to withdraw consent — where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of prior processing.

11. Data security
Urban Kickstart takes appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse, or alteration:
SSL/TLS encryption for all data transmitted via the website (Squarespace);
Secure access controls for internal systems and accounts;
Limited access to personal data on a need-to-know basis;
Regular review of third-party processor agreements.
Please be aware that communication via WhatsApp, while encrypted in transit by Meta, is not fully within Urban Kickstart's technical control. For sensitive matters, we recommend using email.
12. Children’s privacy
Our services are not directed at children under the age of 16. Urban Kickstart does not knowingly collect personal data from children. If you believe a child under 16 has provided us with personal data without parental consent, please contact us and we will delete the data promptly.
13. Links to third-party websites
Our website may contain links to external websites or tools (such as Meetup). Urban Kickstart is not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies directly.

Urban Kickstart may update this Privacy Policy from time to time. The most current version will always be available at www.urbankickstart.com/privacy-policy. We will notify you of significant changes via email or a notice on the website.
